Terms & Conditions
Effective from 1st September 2025
These Terms & Conditions (“Terms”) govern your use of www.fantasticgymnastics.ie, the member portal at billing.fantasticgymnastics.ie, and all services provided by Fantastic Gymnastics, Company No. 641339, registered at McHale Retail Park, Castlebar, County Mayo, F23 PW64, Ireland (“the Club”).
By enrolling your child, creating an account, or using our website and services, you agree to these Terms in full.
1. Membership & Enrolment

Membership at Fantastic Gymnastics is continuous and operates on a monthly subscription basis.

Your child’s place in class is guaranteed provided that monthly fees are up to date.

To cancel your child’s enrolment, you must complete our withdrawal form (available on request) and provide written notice before the 1st of the next billing month.

If fees remain unpaid after the 1st of the month, the membership will be considered lapsed, and the place may be offered to children on our waiting list.
2. Payments & Billing

From 1st October 2025, all payments must be made online only through our secure billing portal: https://billing.fantasticgymnastics.ie.

Payments are processed via Billeezy, securely integrated with Stripe.

Debit or credit card details will be securely stored with Stripe for automated billing.

Fees are charged automatically on the 1st of each month, with a reminder email issued three days in advance.

No other forms of payment (cash, cheque, bank transfer) are accepted.
3. Refunds & Credits
Refunds are not provided for:

Absences due to illness, holidays, personal or family commitments, transportation delays, or early dismissals.

Classes, camps, tasters or trials already completed or in progress.
Credits may be provided in the following cases:

Classes cancelled by the Club due to internal reasons (e.g., no coach available).

In the event of cancellations caused by external or unavoidable circumstances (“Acts of God”), such as severe weather or government restrictions, a make-up session will be scheduled when possible.
4. Class Attendance & Cancellations

Tuition fees are based on an average of four classes per month.
-
Months with five classes are included at no extra charge.
-
No tuition reductions are offered for months with fewer classes due to holidays, closures, or special circumstances.

Summer programme schedules may vary. If you choose not to attend during the summer, your child’s place in autumn is not guaranteed unless re-enrolment is completed.
5. Financial Difficulty
We understand that circumstances can change. If you are experiencing financial hardship, please contact us confidentially on 085 876 9056 to discuss options.
6. General Club Rules

No mobile phones or flash photography are permitted inside the gym. Video recording must be pre-approved.

Children must arrive a few minutes before class to take part in the warm-up. Late arrivals may be refused entry for safety reasons.

Correct training attire is required (no skirts, jeans, jewellery, or loose clothing). Long hair must be tied back.

Use of gym equipment is only permitted under the supervision of a qualified coach.

Parents are not allowed on the gym floor and should wait in designated areas.

Coaches are not responsible for children before or after class. Please ensure prompt drop-off and collection.

The Club has a Nut-Free Policy – no nut products allowed.
7. Codes of Conduct
Members
-
Respect coaches, staff, and fellow gymnasts at all times.
-
No rough play, bullying, or inappropriate behaviour.
-
Follow instructions from coaches and supervisors.
Parents
-
Respect the boundaries of the training space.
-
Communicate with coaches after class, not during.
-
Encourage children to enjoy gymnastics and follow the rules.

Ensure medical or personal updates are provided promptly (illness, injuries, contact details).
Failure to follow the Codes of Conduct may result in suspension or termination of membership.
8. Photography & Media
By enrolling, you consent to photographs and video recordings of classes being taken for training, promotion, or communication purposes. If you wish to opt out, you must notify the Club in writing.
9. Liability & Responsibility

Participation in gymnastics involves physical activity and some inherent risk. The Club takes all reasonable steps to ensure safety but cannot accept liability for injuries that occur through normal participation.

Parents must disclose any relevant medical information to the Club.

Coaches may perform manual spotting to ensure gymnast safety.

The Club is not responsible for lost or stolen property.
10. Communications

The Club communicates with parents via email, SMS, phone, and the parent portal.

It is your responsibility to ensure your contact details are kept up to date.
11. Data Protection

Fantastic Gymnastics processes personal data in compliance with GDPR.

Our billing system is powered by Billeezy and securely integrated with Stripe. Stripe is PCI-compliant and ensures safe storage of card details.

12. Agreement
By registering your child, creating a parent portal account, or making a payment, you confirm that you:

Have read and understood these Terms & Conditions.

Authorise Fantastic Gymnastics to collect monthly fees automatically.

Accept that failure to keep payments up to date may result in the loss of your child’s place.
